Tax Exemption Uploads Now Live in Ninja POD: Here’s What You Need to Know

We’re excited to announce a highly requested new feature—you can now submit tax exemption documentation directly in Ninja POD! This update allows eligible businesses to apply for tax-exempt purchasing right from their account, making it easier than ever to manage compliance and streamline ordering.

If you’re not sure which tax exemption form your business needs, don’t worry—just follow the Exemptax prompts during upload. The system will guide you through selecting, generating, and filling out the correct form automatically.

🚫 Forms That Will Be Automatically Rejected

To avoid delays, please do not upload the following, as these will be automatically rejected:

❌ W-9 forms
❌ Business licenses
❌ Seller’s permits without resale certification language
❌ IRS EIN confirmation letters
❌ Old or expired certificates
❌ Incomplete or unsigned forms

These documents do not qualify as tax exemption proof.

Accepted Tax Exemption Documents

  Accepted Form Type ✅ Requirements
State Resale Certificate Must include resale number and business info
State Sales Tax Exemption Certificate Must be active and valid
MTC Uniform Sales & Use Certificate Accepted if properly completed
Multi-Jurisdiction Tax Exemption Form Accepted if current and accurate

Required Seller Information

Your form must include the seller/supplier information exactly as shown below:

How to Upload Your Certificate in Ninja POD

  1. Access the Ninja POD app
  2. Go to Settings and scroll down to Tax Exemption
  3. Enter your business information and click Create Customer Account.

  4. Next step you will submit or upload your forms. Click Submit Tax Exemption Forms
  5. A new window will open to finish this process. Please accept the terms.

  6. Click Add an exemption certificate
  7. From there, select the state for the exemption you have and follow the on screen prompts.
